RULES AND REGULATIONS
ALLOTMENT OF SPACE

The allotment of space shall be at the discretion of the AELC Organisers. In all cases, AELC reserves the right to reject or accept additional applications at any time. AELC organizers and their designated agents reserve the right to alter or add to the Terms and Conditions given by the Owner of the expo site and generally for the efficient running of the expo.

Allocation of space to an exhibitor, which will then constitute a license to exhibit and not a tenancy will follow acceptance of an exhibitor's application for exhibition space. The AELC organizers reserve the right to at any time to alter the size, shape, or position of the floor plan as may be necessary for the best interests of the Expo. A cost adjustment will be made to any exhibitor in the event of any reduction of their display space.

Exhibitors will not be permitted to sublet the space allotted to them or any portion thereof. The exhibitor will not use the space for any other purpose than that indicated in this agreement. Any breach of this clause will mean forfeiture of space allotted and non-refund of fees paid.

PAYMENT OF EXHIBITION FEE

Signed exhibition contracts should be forwarded, along with full payment, to AELC to guarantee space on or before 28 June 2023

The vendor shall be fully responsible to pay for any and all damages to property owned by the Mondesa Multipurpose Centre.

The authorization of the application space of exhibition space is a legally binding agreement and cannot be canceled after approval of AELC without a written agreement with AELC organizers.

CONDUCT OF EXHIBITOR

The Exhibitor shall maintain his space and area surrounding the exhibit or concession in a neat and clean condition.

The exhibitor is liable for any damage caused to the building floor, walls, or columns or to the standard booth or exhibitors’ property. Exhibitors may not apply paint, lacquer, adhesive, or other coatings to building columns and floors.

The Exhibitor shall adhere to the local ordinances pertaining to health, fire, and gas.

The exhibitor is not permitted to engage in business from any location other than the contracted. The exhibitor will not create excessive noise and will conduct his operation in a businesslike manner.

THE EXHIBITOR IS RESPONSIBLE FOR HIS/HER OWN INSURANCE FOR FIRE, THEFT, VANDALISM, ETC.

All booths must be open by opening time and remain open until closing time every day regardless of weather conditions or attendance, unless written permission is received from AELC. HOURS OF OPERATION will be 07h00 am - 22h00 pm (Friday to Saturday).

Exhibitor hereby holds AELC harmless from any injury or damage to the property of the said Exhibitor occurring in the said building or to the approaches and entrances.

INSTALLATION AND REMOVAL OF THE EXHIBIT

Exhibitors will be allowed two days prior to the opening to set up between the hours of 08:00 am and 18:00 pm. All exhibits must be completed and approved before 10:00 a.m. on the opening day. All space not occupied at that time will revert to AELC and all payments will be forfeited.

Under no circumstance, will goods and/ or equipment be permitted to move out, until after the closing hour of the Expo on the last day without written consent from AELC. Event organizers will remove any material not removed following the official closing of the Expo.

Should any cases or questions arise, not provided in these Rules and Regulations, the decision of management shall have the same force and effect as if it had been made one of these Rules and Regulations.

FOOD VENDORS

AELC is inviting all local and international food vendors to sign up for food stalls. All food stalls will have a designated area. Selections will be made based on the uniqueness and we are looking for local, international, kapana, home-cooked, food trucks, and specialized restaurants to apply for a stall.

All stalls should be neatly presented in adherence to exhibitors' rules and regulations.
